Submitting an event
How do I submit a hackathon or other event on KnowAFest?
Create an account or sign in as an organizer. Complete your profile, including your mobile number and location, and link the organization hosting the event. Open List your event, complete the event form, and save the draft. Review the saved details and submit the draft for publication review. Saving a draft alone does not publish the event.
Why am I unable to create an event?
Check the event creation requirements shown in your profile or organizer dashboard. Your email must be verified, your profile must have the required contact and location details, and you need a linked, verified organization. A profile photo is optional. Complete the pending requirements before creating an event.
What if my college or organization is already listed?
Search for the existing organization in your profile and link it to your account with the appropriate relationship, such as student, faculty, or member. Avoid creating a duplicate organization. If it is missing, create the organization and link it to your account. Organization verification is required before you can use it to create an event.
What information is required for an event listing?
Prepare the event title, organizing organization, category, description, events and highlights, venue or online format, city, state and country, start and end dates, important dates, registration fee details, coordinator contact details and contact email. An official event website and an external registration link are currently required. For a hackathon, also explain the theme, eligibility, team size, participation format, rules, judging process and prizes where applicable. The submission form identifies its required fields.
Do I need to submit documents or an authorization letter?
The event form does not require a general document or authorization-letter upload for every listing. Provide accurate organizer details and official links. The KnowAFest team may ask for clarification or supporting information during review. Submit only material you are authorized to publish and avoid including private participant records or identity documents in public event content.
Posters and registration links
What are the event poster and thumbnail upload guidelines?
Upload the main event image as JPEG, PNG or WebP, up to 1 MB. Make the poster readable and use the image focus controls to choose the cropped area displayed on the event page. A separate card thumbnail is optional: use a 4:3 image, ideally 400 × 300 pixels, up to 100 KB. If you omit a custom thumbnail, the site can generate one from the main event image. Keep key information in the written event details as well as on the poster.
Which website and registration links should I provide?
Provide working HTTP or HTTPS links to your official event website and the page where participants can register. Both links are currently mandatory. Link directly to the relevant event or registration page, check that visitors can open it, and keep it updated. You can also add relevant brochure, social media, map and other supported event links.
How do students register for an event listed on KnowAFest?
Open the event detail page and follow the registration link supplied by the organizer. For externally registered events, the organizer manages registration, fees, selection, refunds and participation. Clicking I’m interested records your interest on KnowAFest; it does not register you for the event or reserve a place.
Charges, review and publication
Are there event listing or promotional charges?
Email [email protected] to discuss listing and promotional options for your event and confirm any applicable charges before arranging payment. Do not assume that every listing is free or that payment automatically includes featured placement. Any additional promotional placement should be confirmed with the KnowAFest team.
How long does event review and publication take?
Submissions are reviewed before publication. KnowAFest does not currently publish a guaranteed review turnaround time. Timing depends on the review queue, organization verification, completeness of the details and any clarification or payment requirements. Submit well before your registration deadline and monitor your event status for updates.
What do the event review statuses mean?
Draft means your event has been saved but has not yet been submitted for review. Pending means it is awaiting review. Changes requested means corrections or clarification are needed. Payment required and Payment under review indicate a payment-related step. Published means the listing has been approved for public display, subject to organization verification. Rejected means it has not been approved. Review the message from the admin team for the next action.
How will I know when my event is published?
Check the event status in your organizer dashboard. When an event changes to Published, the system sends a publication email to the organizer email and the event contact email when they differ. Check your spam folder if needed. You can also preview the event from your event list. If an expected update is missing, contact the KnowAFest team through an organizer message or support ticket.
Can I correct an event after it has been published?
Organizers can edit their events before the event end date. Saving corrections to an already published event preserves its published status. After the event has ended, contact the admin team for corrections. Keep the schedule, registration links, fee details and coordinator information accurate, and use a support ticket if you need help with an event.
What additional publication guidelines should organizers follow?
Submit accurate, relevant details for an event you are authorized to represent. Use the correct organization, categories, departments and location, avoid duplicate listings, and explain eligibility, fees, deadlines and participation rules clearly. Use images and content you have permission to share. Keep public details free of unrelated advertising, misleading claims and private personal information. Publication does not guarantee registrations, traffic or search engine rankings.
